Mandatory E-Invoicing in Poland: Key Dates & How Invoice Portal Is Ready
Poland is moving forward with a major compliance change: mandatory electronic invoicing (e-invoicing) through the National e-Invoicing System (KSeF). This reform will transform how businesses issue and receive invoices.
This reform aligns with broader EU efforts to digitize tax and accounting processes for greater transparency and efficiency.
Important KSeF Deadlines
Poland’s Ministry of Finance has set a phased implementation schedule for mandatory e-invoicing under the revised VAT rules:
Feb 1,
2026
Large VAT Taxpayers
KSeF becomes mandatory for large VAT taxpayers with annual turnover exceeding PLN 200 million (2024 sales).
Apr 1,
2026
All Other VAT-Registered Businesses
Mandatory for all other VAT-registered businesses (B2B transactions).
Jan 1,
2027
Micro-enterprises
Extended mandate to micro-enterprises and smallest economic units.
Important: Receiving e-invoices via KSeF is required for all taxpayers from February 1, 2026 — even before the full invoicing obligation applies to all.
What This Means for Businesses
From these dates onward, companies with operations in Poland must:
Issue invoices in a structured electronic XML format through KSeF.
Move away from traditional PDF or paper invoices for B2B transactions.
Ensure compliance with the Polish VAT Act and system schema (FA(3)).
This shift isn’t just a technical upgrade — it’s a regulatory requirement affecting all stages of invoicing workflows.
Why Mandatory E-Invoicing Matters
Poland’s move toward mandatory e-invoicing aims to:
Tax Transparency
Improve tax transparency and reduce VAT fraud.
Automation
Accelerate and automate invoicing processes across business ecosystems.
Modern Standards
Align accounting practices with modern digital standards.
E-invoicing is no longer optional — it’s central to doing business with Polish partners and authorities.
